US-based University's Story
In an era where AI enables non-programmers to generate sophisticated web artifacts, institutions face a choice: provide a secure, centralised home for these assets or risk a fragmented “Shadow IT” ecosystem. This case study examines how a large, privately owned university with over 50,000 students (including a substantial online population), known for its structured academic system and emphasis on values-based education and career preparation, demonstrates how openEQUELLA delivers the security IT requires while providing the creative freedom faculty and students crave – all in service of the everyday student.

Strategy
Aviation Australia
Aviation Australia began using openEQUELLA in 2018 to establish a centralised, controlled repository for its learning content. As a highly regulated aviation training organisation, they sought “single source courseware” to ensure a rigorous compliance with courseware delivery, transparency to regulations, and to streamline rapid content update capability. openEQUELLA transformed their approach, integrating seamlessly with their LMS and custom authoring tools to achieve unparalleled accuracy, efficiency, and version control in all digital learning materials.

TAFE Queensland
TAFE Queensland (TQ) is a vocational education and training provider with over 120,000 learners enrolled in approximately 650 qualifications, courses and micro-credentials offered across 60 locations in the State and internationally. As a single entity operating across such a wide spectrum of geographic locations, reducing duplication by having a central repository of reusable teaching and learning resources was not a ‘nice-to-have’ – it was an imperative. Adopting openEQUELLA in 2007 and subsequently implementing an internal content management and quality control team has resulted in TQ being able to offer a high-quality, consistent student experience. For teachers, creating new courses and enhancing course content as new resources and assessments are developed has been significantly more efficient.

Macquarie University
Macquarie University (MQ) has been using openEQUELLA since 2013, initially as a centralised digital repository and copyright management system for their Library eReserves, before expanding its use into other areas, such as for Learning and Teaching Resources and as an integrated Multimedia Library. openEQUELLA’s interoperability was a key factor for MQ when choosing which digital content management system they would adopt, as well as its copyright management and highly customisable permissions management capabilities.

Swinburne University of Technology
Swinburne University of Technology started using openEQUELLA in 2013 when they were looking for a place to store and share digital media as part of their iTunesU project. openEQUELLA was implemented as a discovery layer so that media files could be easily catalogued, searched and used. From there, Swinburne Commons was born and continues to develop as a centralised digital media platform for staff and teachers. Use of openEQUELLA has expanded to service all of the institution’s internal multimedia resources, such as staff communications, webinars and online events. Additionally, numerous historical collections have been catalogued and shared with the public, a significant cultural archive for the University.
